Issue Tenants Invoices

This functionality enables you to issue tenants with invoices for rent.

Note that you will not be able to post any transactions to the GL unless the date for the start of the financial year has been set. System/Configuration/Accounting/Accounts Settings.

How to record invoice payments made by tenants

To record invoice payments made by tenants you go to Accounting/Purchases and Sales/Tenants Invoices payments and a screen like the one below shows up:

• Search tenant invoices: Click on this button to display and select the tenant whom you want to invoice e.g rent payment you are to capture.
• Name: Once the tenant is selected from the from the "Select the tenant" or The "Invoice to" windows, the name of the tenant will populate here automatically e.g "Diana Koburungi".
• Building Code:
• Room number: Indicate here the room number for which the invoice is issued e.g "23"
• Amount: This is the amount due either monthly, Bi- monthly, Quarterly etc depending on the frequency chosen under Individual Clients/Tenant
• VAT: The Value Added Tax (VAT) amount charged will automatically populate here . For the VAT amount to appear here, the rates should have been defined under Support Files/VAT rates.
• Total amount: This is the amount due plus the VAT charge if it is levied e.g 354,000
• Invoice details: Enter here the invoice details e.g. "Rent for January 2017".
• Currency: The transaction currency of the GL account will appear here automatically.
• Issue date: Enter here the date that the rent invoice is issued e.g "03/02/2017"
• Due date: Enter here the due date e.g "03/03/2017". This is the date by which the rent payment should be ready for collection.
• Cost centre: Select the cost centre under which this transaction will fall e.g "Administration". This cost centres should have been defined under Support Files/Cost Centers.
• Transaction number: The transaction number will automatically appear here.
• Transaction date: Enter here the date of transaction e.g "02/03/2017"
• Cheque number: The cheque number of the invoice issued will appear here if the rent payment was made by cheque.
• Voucher: The invoice details entered under Enter here the voucher number e.g 321
• Invoice amount: The invoice amount will automatically appear here e.g "826,000". This invoice should have been issued under menu Accounting/Purchases and Sales/Issue Tenants Invoices which payments will automatically be posted to your General Ledger. 
• Amount paid: This is the amount that has so far been paid against the invoice amount. In the case above nothing has been paid yet other than the "726,000" that has been received. Which will be reflected as below the next time this invoice is retrieved.

Note that before you can use the tenant module, you should have registered the tenants under menu Clients/Individual Clients/Tenant
