This page allows you to register and configure settings for tenants.

How do you register and configure settings for tenants

To register and configure settings for tenants, go to Clients/Individual clients/Tenant and the following screen appears:

• Tenant: Activate the check box Tenant and the tenant specific fields that need to be filled will appear in 'Yellow colour"
• Branch: The branch code of your organisation appears here e.g. "KA". You can however select different branch codes if you are operating a multi - branch databases.
• Retrieve: Click on Retrieve button to select an existing client whom you want to register as a tenant. If he/ she is not an existing client just enter the details such as Name, Gender, Title etc.
• Reg. Code: The registration code of the retrieved client will automatically appear in this field e.g "000003". However if he/she is not an existing client this field will be empty and read only
• First Name: Enter the Tenants First name here e.g. "George" this field is compulsory.
• Middle Name: Enter the Middle name of the tenant here e.g "William", this field is optional.
• Surname: Enter the Surname here e.g. "Peterson".

• Title: From the drop down select the appropriate title for the tenant e.g "Dr". This title should have been defined under Support files\Name Titles.
• Registration Date: Enter the date that the tenant is or was registered. It is a compulsory field and only then will the transaction with this tenant start.
• Gender: From the drop down select the appropriate Gender for the tenant e.g Male this field is compulsory.
• Client Exists: Click on Client Exists to check if the client / tenant you are entering is not the same as the one already in your database.
• Client is also a guarantor: Tick this checkbox if the client can stand in as a guarantor to other clients. If this checkbox is not ticked, he will not appear among the acceptable guarantors.
• Client can buy shares: Tick this checkbox if the client is allowed to buy shares in the organisation. If this checkbox is not ticked, he will not be able to purchase or sell shares to the company.
• Delete: Click on the delete command button if you want to delete a client.
• Contract start date: Enter the starting date of the contract between your organisation and the tenant e.g. "01/01/2016"
• Contract end date: Enter the Contract end date of the contract between your organisation and the tenant e.g. "30/12/2016". The contract will be running till this date.
• Contract number: Enter the here the Contract number with this tenant e.g. "CCS/001". There is no known way of how it is designed.
• Building code: Enter the Building code for these contract this codes can be predetermined or can be according to how your organisation prefers.
• Rental purpose: From the drop down menu select the appropriate Rental purpose. e.g. "Medical Unit" for these rental purposes to appear here, they need to have been defined under Support Files/Rent Purpose.
• Room number: Enter the Room number here if the letting or renting is by rooms.
• Occupied space: Enter the here the Occupied space. Rent can be paid according to square meters depending on your organisation and the space available e.g. "2 sq meters"
• Amount due\ Month: Enter here the Amount due\ Month. This will be the monthly rent amount e.g. "450,000" that will be paid based on the frequency chosen.
• Payment frequency: From the drop down menu, select the Payment frequency that suits tenant or as negotiated with him/ her e.g. Monthly

Click on the Add button to add the tenant's details. You can also select the tenant and edit the details then click on Update to add the changes or Delete to delete the tenant/ client.

Click on Save button to save the changes.
